Servicing Procedure

All service jobs booked through BookMechanic must follow the appropriate service schedule for the vehicle.

1. Follow the Correct Service Schedule

Refer to the ‘Service Schedules’ section in your app to ensure you’re carrying out either an Interim or Full service correctly.

  • All checks and tasks listed in the relevant schedule must be completed.
  • Pay close attention to fluid levels — these should be topped up as standard, within fair-usage limits.

⚠️ If a vehicle requires significantly more fluid than usual (e.g., coolant, oil, screenwash), you may charge an additional fee, but this must be clearly discussed and agreed with the customer beforehand.

2. After the Service

Once the service is completed:

  • Provide a summary of all checks completed, along with any relevant observations or recommendations.
  • Include this summary in the booking receipt when finalising the job in the app.

3. If Additional Work Is Needed

If you identify that further repairs or maintenance are required during the service:

  • Inform the customer promptly.
  • Use the BookMechanic platform to generate a formal quotation to ensure consistency in pricing.

If the customer approves the additional work:

  • Add it to the existing booking before charging off the service.

If the customer decides to wait or needs time to consider:

  • Finalise and charge the original service as normal.
  • Send a follow-up quote through the platform for their consideration.

4. Service Book & Digital Records

At the end of the service:

  • Stamp and complete the service book (if provided).
  • If the customer has requested an update to their electronic service record, only accept the job if you have the correct login credentials or access for that vehicle’s system.
